Can I merge or delete a reader profile?

There's no merge or delete button in Reader Profiles, because profiles are built from your ARC Tracker and Beta Readers entries. You change a profile by changing those entries.

Combining two profiles for the same person

If a reader used two email addresses, they'll have two profiles. To combine them:

  1. Decide which email to keep.
  2. In ARC Tracker and Beta Readers, edit their other entries so they all use that email.

Their history now appears on one profile. Your color, labels and notes belong to the email address, so anything you added to the old profile doesn't move across. Copy your notes over before changing the email.

Removing someone from the list

A reader drops off the list when they no longer have any ARC Tracker or Beta Readers entry with their email, for example after you delete those entries. Your color, labels and notes for that email are kept and come back if the email is used again. To wipe them, clear the notes box, remove the labels and click the selected color to unset it before you delete the entries.

When a reader asks you to delete their data

The account owner can remove a person from the whole account:

  1. Open Settings from the sidebar and go to the Data section.
  2. Click GDPR Removal Requestโ€ฆ and enter the reader's email.
  3. Click Search to see every tool where they appear and how many records will change.
  4. If offered, keep Also clear the notes ticked, since notes can mention the person by name.
  5. Click the Anonymize โ€ฆ and delete โ€ฆ records button to confirm.

Anonymized records keep their status and dates, but the name and email are removed. Form submissions are deleted completely. This can't be undone. Copies in your own Gmail, Dropbox or newsletter provider aren't touched, so remove those there.

Only the account owner sees this option. Collaborators can't use it.
